Meaning and Objectives of Trial Balance

  • Trial balance is a statement showing the balances, or total of debits and credits, of all accounts in the ledger.
  • Its main purpose is to verify the arithmetical accuracy of posting into ledger accounts.
  • It is usually prepared at the end of an accounting year, but it can also be prepared monthly, quarterly, half-yearly, or annually.

Classification of Errors

  • Errors are commonly classified into four categories: errors of commission, errors of omission, errors of principle, and compensating errors.
  • Errors of commission are clerical errors caused by wrong posting, wrong totalling, wrong balancing, wrong casting of subsidiary books, or wrong recording of amounts.
  • Errors of omission happen when a transaction is not recorded fully or partly in the books.

Locating Errors in a Non-Tallied Trial Balance

  • If the trial balance does not tally, at least one error has occurred.
  • First recast the totals of debit and credit columns of the trial balance.
  • Compare account titles and amounts in the trial balance with the ledger.

Rectification of Errors

  • Errors which do not affect the trial balance are usually two-sided errors and are rectified by a journal entry.
  • Errors which affect the trial balance are usually one-sided errors and are rectified by explanatory note or suspense account.
  • Do not correct errors by erasing or overwriting.
