2. Parts and Format of a Formal Letter

  • A formal letter has a clear structure and a fixed arrangement.
  • Companies often use printed letterheads bearing the company name, and sometimes the sender's name and designation.
  • The main parts are: sender's name and address, addressee's name and address, date, salutation, subject line, content, complimentary close, and signature.

3. Salutations and Complimentary Closes

  • To address a total stranger, use 'Dear Sir/Madam'.
  • To address someone in a formal relationship without personal acquaintance, use 'Dear Mr/Ms/Dr/Professor + Surname'.
  • To address a person known personally in a semi-formal relationship, use the first name, such as 'Dear Sujata'.

4. Informal Letters

  • Informal letters include personal letters.
  • If it is a personal letter, the format is flexible.
  • For an informal letter, one may just write the city name followed by the date at the top.
