1. Meaning and Need for Rectification
- An error may be committed while recording transactions in the journal or subsidiary books, posting them to ledger, or preparing the trial balance.
- Errors must be located and corrected so that the profit or loss and the financial position are correct.
- Rectification means removing the effect of an error and reaching the correct position.
2. Classification of Errors
- From the rectification point of view, errors are classified into two groups: two sided errors and one sided errors.
- Two sided errors do not affect the trial balance because two accounts are affected simultaneously.
- One sided errors affect the trial balance because only one account or one side of an account is affected.
3. Two Sided Errors and Their Rectification
- A two sided error occurs when one account is wrongly debited and another account is wrongly credited.
- These errors include errors of omission, commission, principle, and compensating errors.
- Such errors are rectified through a journal entry following double entry principles.
4. One Sided Errors and Suspense Account
- One sided errors affect only one side of an account and therefore affect trial balance agreement.
- One sided errors occur when an item is not posted, when the wrong amount is posted, when an item is posted on the wrong side, or when a subsidiary book total is wrongly cast.
- If the error is found before the trial balance is prepared, a journal entry is not required; only the amount is entered in the concerned account with an explanatory note.
