1. Need and Functions of Business Correspondence
- Business letters help widen contacts because a firm cannot send representatives everywhere, but it can reach many people through letters.
- Circular letters are used to share information about new branches, expansion, change of address, new products, agency announcements, clearance sales, and admission of new partners.
- Oral messages on the telephone require written confirmation because letters serve as authoritative proof and can be used as documentary evidence in court.
2. Elements and Components of a Business Letter
- Heading contains the firm’s name, address, telephone number, telex number, fax number, and e-mail address.
- Most firms use printed letterheads for correspondence.
- If the firm’s name does not clearly show the nature of business, the nature of business should also be written.
3. Types of Business Letters
- Application letter for a job: written by a person seeking employment; it is a kind of sales letter because the applicant seeks to sell his services.
- Solicited application letters are written in response to a job advertisement; unsolicited application letters are written without an advertisement.
- Interview letter: sent to selected applicants after scrutiny of job applications.
