1. Need and Functions of Business Correspondence

  • Business letters help widen contacts because a firm cannot send representatives everywhere, but it can reach many people through letters.
  • Circular letters are used to share information about new branches, expansion, change of address, new products, agency announcements, clearance sales, and admission of new partners.
  • Oral messages on the telephone require written confirmation because letters serve as authoritative proof and can be used as documentary evidence in court.

  • Heading contains the firm’s name, address, telephone number, telex number, fax number, and e-mail address.
